Summary:
The Receptionist will facilitate the first impressions guests make when they arrive at our community and aid in the daily operations of the Business Office for the Assisted Living and Independent Living Communities.
Therefore, the position requires a pleasant personality, good communication/organization skills and a customer-service oriented mind-set.
An ideal candidate will have good phone/computer skills, attention to detail, and the ability to work well with a team.
The Receptionist/Support Specialist should be a hands-on worker, willing to help with light cleaning, assist residents in both Assisted Living and Independent Living communities, and willing to work some weekends.
JOB DUTIES:
Greet all visitors with a smile and helpful attitude.
Direct all phone traffic and visitor traffic within the community with a customer-service oriented mind set.
Answer phone calls, provide necessary information to caller inquiry, and relay any messages to the appropriate team member.
Assist with organization and storage of records and files in paper and electronic format.
Contact management and communicate with staff when tour opportunities arise.
Maintain schedule and execution of resident transportation.
Maintain visitor/vendor check in / check out logs.
Schedule resident salon services and coordinate treatment schedules with providers.
Oversee office equipment including operation and maintenance of copier/fax/scanner and computers.
Coordinate mail delivery in/out of the community engaging residents for assistance.
Ensure that the visitor/common areas are clean.
Provide general office support to the management team.
Update phone directories as needed.
Maintain stock of office supplies and brochures such as handbooks, tour packets, welcome bags, menus, and brochures.
Ensure new residents are welcome to the community and provide name tags/welcome bags/ keys etc.
Collect & compile manager expense reports and employee meal counts and submit to CEO.
Weekend rotation (one weekend per month and one Sunday per month) participate in the independent living community oversite schedule.
Check on independent senior residents, log activity, assist with meals/delivery and tidy the community center/dining area.
Other administrative duties as requested by management.
KNOWLEDGE, SKILLS, & ABILITIES and JOB REQUIREMENTS:
High school diploma.

years of customer service & administrative/office experience required.
Weekend rotation and holiday participation required.
Exceptional professional demeanor and telephone communication skills.
Ability to use good judgement Organized and willing to work with various computer systems or technology operations.
Works efficiently and thoroughly, completing tasks and projects by the deadline.
Must have a positive attitude and a strong understanding of customer service.
Ability to work positively and productively with a team to accomplish a common goal.
Willing to text or email from personal phone/device if needed.
Must be able to sit or stand for long periods of time and have reliable transportation.
Drug screen, TB Screen, Covid19 test and criminal background check required.
